Every organisation that comes to Kaha Create starts with a version of the same question: we have so much knowledge sitting with our people; how do we capture it before it's lost, and where do we start? Here are some easier-to-answer questions to help think it through.
Open to the public and your wider community — you likely only need a small number of admins and creators managing the hub, since anyone can view.
Restricted to a defined group — you'll want an invite-only hub with tighter control over who has access.
Kaha Create is built so you can control exactly who has access, from a resource opened up to your whole community through to one kept inside a select group or team. As your kaupapa grows or changes, you can adjust who's included at any time, you're not locked into one model from the start.
Up to five administrators and creators — Tōtara covers this. Additional seats are available at $12/month each if you occasionally need a couple more.
More than five, or you need unlimited seats with restricted access — Ngahere is built for that.
Beyond deciding numbers, this is also about who's doing the work. Kaha Create lets you invite others to help administer the hub, so the responsibility doesn't sit with one person, and to bring in multiple contributors and creators so more of your people's knowledge becomes learning, not just what one person has time to build.
Kaha Create is built to be self-service. If you have people who can run a recording (including voice-over screen recordings for systems and processes) and think through the interview questions themselves, you can get started without spending anything on production. It doesn't need to be broadcast-quality to be valuable — don't chase a polish you don't need.

Tōtara removes the Kaha Create branding banner and gives you a custom URL - your hub, your brand.
Fully white-labelled emails and login (no Kaha Create branding anywhere, including in the inbox) is a Ngahere feature.
If cost is a barrier, there are other ways we can help. Our koha pricing model gives non-profit and kaupapa Māori organisations full Tōtara access on terms you choose, within a $0–$49 per month range. It's not a discount or a lesser version of the plan — it's a reciprocal exchange, values-aligned to what your organisation can offer back into the kaupapa. There are other ways we support non-profits with cost too, so if budget is what's holding you back, it's worth a kōrero rather than assuming the answer is no.
