Roles determine what you can do within a Kaha Create knowledge hub. Your role depends on how you were invited to join an organisation and what level of access you need.

What are Roles?

Roles determine what you can do within a Kaha Create knowledge hub. Your role depends on how you were invited to join an organisation and what level of access you need.

The Five Roles Explained

Owner

Who gets this: The person who created the organisation or someone who's been given ownership

What you can do:

  • Complete control over your organisation's knowledge hub

  • Invite and manage all team members

  • Create and publish content

  • Manage billing and subscriptions

  • Access all analytics and insights

  • Customise branding and settings

  • Export organisation data

What this means: You're in charge! You have full control over your knowledge hub and can manage every aspect of your organisation.


Admin

Who gets this: Trusted team members who help manage the organisation

What you can do:

  • Invite new team members (Creators and Viewers)

  • Remove team members (except Owners)

  • Create and publish content

  • View all content in your organisation

  • Organise and categorise content

  • View basic analytics

  • Support other team members

What you can't do:

  • Change billing or subscription settings

  • Delete the organisation

  • Remove or change Owners

  • Invite other Admins

What this means: You help run things day-to-day but don't have full ownership responsibilities.


Creator

Who gets this: Team members who create and share knowledge content

What you can do:

  • Create unlimited learning resources (within your plan)

  • Use all creation tools (video recording, AI editing, etc.)

  • Edit and update your own content

  • Set who can access your content

  • View how people engage with your content

  • View other team members' content (if permitted)

What you can't do:

  • Invite other team members

  • Edit content created by others

  • Change organisation settings

  • View organisation-wide analytics

What this means: You focus on creating great content without worrying about managing the organisation.


Viewer

Who gets this: Team members, volunteers, or external people who need to access and learn from content

What you can do:

  • View and engage with learning content

  • Complete quizzes and exercises

  • Download resources (if permitted)

  • Track your learning progress

  • Comment and provide feedback (if enabled)

  • Bookmark favourite content

What you can't do:

  • Create any content

  • Invite other team members

  • Change any settings

  • View organisation management features

What this means: You're here to learn and engage with content, not to create or manage it.


Super-admin

Who gets this: Kaha Create staff only

What this means: This is our support team who can help you with technical issues, but they won't make changes without your permission.


Working Across Multiple Organisations

You can be a member of several organisations with different roles in each. For example:

  • Owner of "Community Health NZ"

  • Creator in "Auckland Council Training Hub"

  • Viewer in "Wellington Business Network"

When you log in, you'll see all your organisations and can switch between them. Your permissions in each are completely separate.

How Invitations Work:

  1. You send an invitation specifying the role you want to give

  2. The person receives an email with an invitation link

  3. They accept the invitation

  4. They automatically get the role you assigned

  5. Invitation links expire after 7 days for security
